Job Summary
The Office Administrator/Ministry Support position will ensure efficient operation of the office and
support pastors and other staff as needed. This position is the primary contact person for the church
office and will manage and distribute information as needed within the office.
HOURS: Sunday - Thursday: 8 am to 5 pm
Primary Responsibilities
Great people skills!!! Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
Provide excellent customer service to visitors to the church office
Manage phones and phone system
Handle sensitive information in a confidential manner
Takes notes at weekly Staff meetings and attends Worship Planning Meetings to relay communication needed for all upcoming events..
Manage Realm, Planning Center Calendar, Constant Contact, and NextGen social media/website page and all internal communications.
Schedule Facility Rentals, reservations and Vans
Be the primary contact person for meetings and other scheduled commitments. Know when staff is available.
Print and manage the bulletins, curriculum and handouts for Sunday’s & Wednesdays.
Admin support for the NextGen ministry.
Ensure operation of office equipment and maintain office supply inventory
Process incoming and outgoing mail and deliveries.
Book travel arrangements as needed.
Populate office calendar and website calendar with church events and dates.
Manage all Ministry Safe paperwork / data / background checks that are needed.
Manage all event registrations.
Reconcile Credit Card Statements monthly.
Wash / Organize Tablecloths.
Refill / decorate office space.Organize and order meals needed for all meetings and events.
Perform other duties as assigned.
Education and Experience
This position requires a minimum of 3 to 5 years experience in an administrative position either in a church or business environment. The successful individual will have an advanced knowledge of Microsoft Office, Gmail and Google applications. This person is required to have extensive knowledge in website updates and social media management. Have the ability to mulit-task and have excellent written and verbal communication skills. High School diploma required.

Maintain a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ.
Have a caring attitude, excellent people skills, and high integrity (a positive attitude).
Be accessible, responsive, and flexible to handle the changing needs of the church (reliability is a must).
Have knowledge of all happenings at Grace and be able to coordinate the unique schedules (a leader and Christ-centered life).
Be a member of Grace Community Church and be willing to sign Grace’s Statement of Faith.
Because of the nature of the role, this person must demonstrate a high level of trust and the ability to protect the reputation and integrity of others through strict confidentiality. Will be required to sign a confidentiality agreement.
Additionally, the willingness to learn new skills, work as a team player, and overall dependability/accessibiliy are very important.
